Choose a business phone using your own calls.

Keep a count for one working week, then ask each provider to price the same workload. Use anonymous enquiry numbers in your log so customer details stay in your usual business records.

Before you compare prices

  • Count incoming calls, the calls you miss and the people who need to answer.
  • Note how many minutes you spend returning enquiries and which countries you call.
  • List the questions a receptionist could answer from your website. Correct old hours or prices before sharing it.
  • Decide what needs your approval, including appointments and final quotes.
  • Record whether you need a new number or want to transfer an existing one.

Ask for the complete monthly price

  • Get a quote for your user count, number requirements and expected outbound calling.
  • Ask how AI usage is counted, when it resets and what happens when the allowance runs out.
  • Include app add-ons, setup, human handoffs and any required higher plan.
  • Confirm VAT or other taxes, contract length and the price after any introductory offer.

Try the calls your customers make

  • Ask a routine question and compare the answer with your website.
  • Leave an enquiry that needs a callback. Check that the saved request gives you enough detail.
  • Ask something the business information does not cover and see how the receptionist handles it.
  • Try the app where you usually work, including any areas with weak reception.
  • Check who can access call records, how long they are kept and how to delete them.

Measure the useful outcome

The call log has fields for a captured request, callback and agreed job. Keep those stages separate, then count completed jobs once you have delivered the work.

For example, 2 agreed jobs from 6 returned enquiries gives a rate of about 33%. This is an illustrative calculation. Use your own costs when deciding whether the service earns its place in the business.
